Legal and Preferred Name Updates

HSD Human Resources is pleased to announce that effective Monday, June 1, Legal and Preferred name change requests can now be completed in Employee Records, accessible through MyHSD.

Legal Name Change Request (change from Google Form to Employee Records)

  • Staff will be able to submit the “HR - Legal Name Change” form in Employee Records in the Available Forms section.
  • Once processed by HR, Employee Records (PowerSchool) will generate email notifications to relevant teams.
  • System Impacts: Legal Name will continue to be used in iVisions and PowerSchool products, as these systems process documentation requiring legal names.

Preferred First Name Change (New Form)

  • Staff will be able to submit the “HR - Preferred First Name Request” form in Employee Records in the Available Forms section. 
  • Once processed by HR, Employee Records (PowerSchool) will generate email notifications to relevant teams.
  • System Impacts: Preferred first name will appear in:
    • Classlink
    • Google (unless staff has already updated)
    • HSD Web Directory
    • Outlook
    • ParentSquare
    • Phone Display/Mitel Directory
    • Synergy (if applicable)
    • Some systems will retain the legal name for payroll, legal documentation, and evaluations
